Office Manager and Administrative Medical Assistant Job Description

Living Medical Arts PLLC is a multi-disciplinary clinic delivering patient-focused naturopathic, physical, and integrative care. We’ve been serving the San Juan Islands and other communities since 2010.

We are seeking ambitious and motivated individuals to join our team, one as an administrative assistant and an Office Manager.

You are the first customer point of contact and maintain a kind, calm, efficient telephone presence and office environment to ensure the highest quality patient care and prompt customer service. Opportunity for promotion.

Responsibilities:

• Prepare for and manage patient check-ins, fulfill customer orders, and follow up to ensure customer needs are met

• Receive and distribute communications via emails, faxes, and phone, taking action when necessary

• Fax medical referrals and records

• Compose correspondence to customers, service providers and staff

• Manage and maintain files, records, and correspondence, both hard and digital copies

• Maintain medical supplies and retail inventories; place and receive orders

• Work with Medical Director to prepare lab requisitions and manage entire lab logistics and communication process

• Maintain office schedule by completing tasks efficiently and on time

• Complete special daily/weekly/monthly projects as assigned

• Take ownership of this position by exploring opportunities to add value to job accomplishments

• Duties and responsibilities may change based on business needs

 

Work Hours / Benefits:

• Mondays, Tuesdays, Wednesdays, Thursdays, generally 8:30am – 5:30pm; occasional additional hours as needed

• Complimentary in-house medical care

• Supplements at business cost

• Paid vacation time accrued after 90-day probation period up to 40 hours first year

• Sick pay

• IRA 3% match after 90-day probation period

Skills and Characteristics:

• Highly organized and know how to manage multiple projects and prioritize daily tasks

• Able to complete accurate reports and tasks by deadline

• Clear, succinct documentation/administrative reporting and writing skills

• Personable and efficient communication and customer service skills

• Ability to follow up on customer service issues to full completion

• General PC and data-entry skills; proficient in Microsoft Office Outlook, Word and Excel; other MS programs a plus

• Attention to details

• Flexibility: adjust to daily tasks and work pace as needs require

• Dependable, professional, a team-player, and can maintain strict confidentiality

• Possess a positive, can-do attitude, take responsibility, and are a self-starter

• Even better if you are interested in natural medicine and learning how to maintain optimal personal health Education and Experience Requirements:

• High school graduate or higher education a plus.

• Two years of business office experience

• Valid Driver’s license
